a) Clients (families / households)

When you contact us or complete our “Find a nanny” or similar forms, we may collect:

  • Name and surname
  • Contact details (telephone number, email address)
  • Home address or location
  • Family details relevant to childcare needs (number and age of children, special needs, schedules, preferences)
  • Information about the role you wish to offer (duties, hours, salary range, live‑in/live‑out, start date)
  • Any other information you choose to include in your messages to us.

b) Candidates (nannies and childcare professionals)

When you apply through our “Candidate registration” or by email, we may collect:

  • Name and surname
  • Contact details (telephone number, email address, address or location)
  • CV / work history, qualifications and references
  • Nationality and languages
  • Availability, preferred locations and type of role (full‑time/part‑time, live‑in/live‑out, temporary/permanent)
  • Information about your experience with children, skills and training
  • Where applicable and lawful, information from referees and background checks.

We do not intentionally collect special category data (such as health data, religion, etc.) unless it is strictly necessary and you provide it voluntarily and explicitly (for example, to discuss specific care needs of a child or your ability to perform certain tasks).

c) Website users and general contacts

When you use our website or contact us:

  • Identification and contact data (if you fill in contact forms or send us an email).
  • Technical data (such as IP address, browser type, approximate location, pages visited) through cookies and similar technologies – see our Cookie Policy.

3. For what purposes do we use your data? (purposes and legal bases)

We process your personal data for the following purposes and on the following legal bases:

a) Recruitment and placement of Candidates with Clients

Purpose:
To match Candidates with suitable Client roles, introduce Candidates to Clients, manage the recruitment process and follow up on placements.

Legal bases:

  • Performance of a contract or pre‑contractual steps at your request (Article 6.1(b) GDPR) – for example, when you register as a Candidate or request our services as a Client.
  • Legitimate interests (Article 6.1(f) GDPR) – our legitimate interest in providing recruitment and introduction services and growing our business, always balanced against your rights and freedoms.

b) Communication with you

Purpose:
To respond to your enquiries, provide information about Candidates or job opportunities, send confirmations or updates, and maintain our relationship with you.

Legal bases:

  • Performance of a contract / pre‑contractual steps.
  • Legitimate interests in maintaining contact with Clients and Candidates.

c) Legal and administrative obligations

Purpose:
To comply with our legal, tax and accounting obligations and to respond to requests from public authorities where required by law.

Legal basis:

  • Compliance with a legal obligation (Article 6.1(c) GDPR).

d) Marketing and information (very limited)

We do not carry out aggressive or mass marketing. If we send you occasional news, updates or information about our services:

  • It will be related to our childcare recruitment services, and
  • You can object or unsubscribe at any time.

  • Legitimate interests (Article 6.1(f) GDPR), or
  • Your consent (Article 6.1(a) GDPR), where required.

4. How long do we keep your data?

We keep personal data only for as long as necessary for the purposes for which it was collected, and to comply with applicable legal obligations.

As a general guideline:

  • Client data: for the duration of the relationship and for a reasonable period afterwards (for example, up to 6 years for tax/accounting records, or longer if there are legal claims).
  • Candidate data: for as long as we actively consider you for roles and maintain contact with you. If you become inactive for a long period, we may delete or anonymise your data, unless we are legally required to keep it longer.
  • Website data and cookies: in accordance with our Cookie Policy and browser settings.

We regularly review the data we hold and delete or anonymise it when it is no longer needed.

5. Who do we share your data with?

We may share your personal data with:

  • Clients – if you are a Candidate, we share relevant information (CV, experience, references, etc.) with potential Clients, but only where necessary to consider you for a role.
  • Candidates – if you are a Client, we may share relevant information about the role and basic family details necessary for the Candidate to assess the position.
  • Service providers – trusted third parties that help us operate our business (for example, website hosting/platform providers, email services, IT providers). These parties act as data processors and are bound by contracts requiring them to protect your data.
  • Public authorities or courts – where we are legally obliged to do so, or to protect our rights, property or safety (for example, in the case of fraud or legal claims).

We do not sell your personal data to third parties.

If data is transferred outside the European Economic Area (EEA), we will ensure that appropriate safeguards are in place (for example, adequacy decisions or standard contractual clauses) in accordance with GDPR.
